Application Profiles Jumbo Roll Forms Meet High Volume Demand and Tight Deadline The Industry Financial/Insurance/Investment Services Basic Application The printing and production of 11.5 Million ballot cards to be sent to shareholders for a required vote on the demutualizing of an insurance company. Details The client needed to produce and print 11.5 Million ballot cards measuring 8.5” x 5.5” with a required turnaround time of 11 days. The ballots were to be printed 3/2 with black, blue and OCR dropout red on one side, and black and blue ink on the other side. With the strict legal guidelines and regulations governing the financial and insurance industries, all documents and forms had to be reviewed by the state’s insurance department, which added to the challenge of meeting an already tight deadline. Fortunately, the client’s project coordinator handled the legal side and left Miami Systems to handle what they do best... the design and printing of the ballots. With the large volume of cards required, we determined that the most efficient means of printing and imaging the ballots was through the use of jumbo roll forms. The roll was designed with vertical and horizontal perfs so that the imaged rolls could be trimmed to a 17” x 11” sheet containing four ballot cards on each. Test rolls were produced on an overnight basis for a four stage evaluation of the programming, as well as a review of sample mailings. The Challenge As can be expected with a project of this magnitude, the job didn’t go off without challenges. However, as the client pointed out, success is often measured by the way a company handles the problems that crop up, and Miami Systems was up to the task. The challenges were largely created by the legal team who continued to review the concept even as the printing process was underway. This led to continuous revisions that turned a tight deadline into a race against time. The test results were positive in that all of the testing phases were completed ahead of schedule, so the job proceeded on schedule. The Solution Miami Systems understands that the business environment rapidly changes, and prides itself on working well under pressure, so that we alleviate the stress encountered by our clients. To meet the print requirement of producing the volume of ballots requested, Miami Systems utilized a jumbo roll form product. Jumbo rolls are continuous printed forms on a 40” - 50” diameter roll which are printed on high speed laser printing systems. A single jumbo roll can print close to 100,000 letter-size forms before being replenished, so significant time savings is achieved as compared to using boxed forms. To meet the delivery requirement, Miami Systems printed the jumbo rolls and shipped from two of its centrally-located printing plants to allow fast and convenient shipping to the imaging center where the cards were addressed and mailed. The client received reports on a daily basis on the number of rolls that were printed as well as the number of individual ballot cards that were imaged and mailed. The end result: a quality printing and imaging job that was completed accurately and delivered in just 10 days — ahead of their tight schedule!
