Application Profiles School Districts Utilize Variable Imaging for Back To School Packets The Industry Education; public school systems. Basic Application Prior to the start of a new school year, school districts throughout the country send out information packets to all registered students and their parents. Details Miami Systems worked with several school districts for the printing and compiling of information packets. Included in these packets were a Verification Form which allows students and parents to confirm that accurate information is on file with the school; School Hours, which vary among the schools in the district; Student ID Card; Transportation Information, which includes the bus number and pick-up time for each student; an Emergency Medical Authorization Form; and an Application for Free & Reduced Price School Meals. All of this information is compiled into a packet and distributed to each registered student within the district. The Challenge The school systems face an enormous task in producing materials that vary not only for each student, but for each school within the district. Once the individual components were produced for each school, they would have to be personalized (bus schedule, ID cards), sorted, and prepared for mailing. The Solution The Digital Print Communication Services division of Miami Systems was able to assume responsibility for the entire process. By working closely with each school district from the beginning, we were able to design an information packet with variable print fields that would match up to the each school’s information database, and provide individualized packets based on each school’s and student’s records. Once the print material was produced, all that was required of the school district was to supply the database file. Our Digital Print Communication Services group took the disk, compiled the data for output to specific print fields, produced the individualized and personalized booklets through our state-of-the-art digital printing facility, and mailed each finished packet to each student in the district. All parties involved benefited from this approach. The students received a personalized packet that included everything they needed to know for the new school year, including school hours, class assignments and bus numbers. The parents appreciated the amount of information that was already imprinted on the forms, which meant there was less information that they had to manually complete. The school district saved a great deal of time and expense by streamlining a process that had previously included many labor-intensive steps: printing, compiling, sorting, inserting, and mailing.
